This notice explains what personal information we collect about staff, governors, and volunteers, why we collect it, and what we do with it.
Who we are
Boldmere Junior School is the data controller for personal information relating to its workforce. Our Data Protection Officer can be contacted at enquiry@boldmere.bham.sch.uk (please mark it for the attention of the DPO).
The categories of workforce information we collect
- Personal details (name, address, contact details, date of birth, National Insurance number)
- Employment records (contract, role, salary, absence, appraisal, and disciplinary records)
- Qualifications and professional development records
- Safeguarding checks, including DBS certificate information
- Emergency contact and medical information relevant to health and safety
Why we collect this information
We use workforce data to:
- Administer employment contracts, payroll, and pensions
- Meet safer recruitment and safeguarding obligations
- Manage performance, absence, and professional development
- Comply with statutory reporting requirements
The legal basis for using this data
Processing is necessary for the performance of the employment contract, to comply with our legal obligations (including under the Education (Supply of Information about the School Workforce) (England) Regulations 2007), and in some cases for the protection of vital interests or public task.
Who we share workforce information with
We share information with:
- Birmingham City Council, as required under the Education (Supply of Information about the School Workforce) (England) Regulations 2007
- The Department for Education, via statutory workforce data collections
- Payroll and pension providers, under a data processing agreement
- The Disclosure and Barring Service, where relevant to safeguarding checks
We do not share information about staff with anyone else without consent, unless the law and our policies allow us to do so.
How long we keep this data
We retain workforce records for the period set out in the Information and Records Management Society (IRMS) Toolkit for Schools, after which data is securely destroyed.
Your rights
You have the right to:
- Ask to see the information we hold about you
- Ask us to correct inaccurate information
- Ask us to erase information in certain circumstances
- Object to certain types of processing
- Complain to the Information Commissioner’s Office (ico.org.uk) if you believe we have not handled your data correctly
